Privacy Policy

CivicLabs ("we", "us") builds civic technology for Australian local government, including SitePermit. This policy explains how we handle personal information collected through civiclabs.com.au and our early-access program. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

We only collect what you choose to give us. When you use the early-access form we collect:

• Councils: your name, role or title, council, work email, and optionally your phone number, the areas you'd like SitePermit to help with and any other details you add.
• Applicants and professionals: your name, email, the kind of applicant you are, and optionally your project's council area, project type and whether you're happy to help test SitePermit.

If you email us, we collect your email address and whatever you include in your message.

Like any website, the servers that deliver civiclabs.com.au receive technical information such as your IP address and browser type so they can send you the page. This website does not use cookies, analytics, advertising or tracking tools. If that changes, we will update this policy first.

How we use it

We use your details only to talk to you about SitePermit, for example to arrange a council briefing, to tell you when SitePermit is available for your council area, or to invite you to help test it. We will not sell your personal information or share it with anyone for their own marketing. You can ask us to stop contacting you at any time.

SitePermit early access and testing

If you help us test SitePermit and share plans, documents or project details, they are stored in Australian cloud infrastructure and used only to provide and improve the service. Please do not share anyone else's personal information without their permission. We will give you any additional terms for using SitePermit before you start.

Where it is stored and who can see it

Form submissions are processed by Amazon Web Services in its Sydney region and delivered to our email, which is hosted by Microsoft 365. Only the CivicLabs team can access your details. These providers act on our behalf and may process some information outside Australia (for example, content delivery servers that serve this website close to you). We choose providers with strong security and privacy commitments.

How long we keep it

We keep your details while they are needed for the purposes above, and delete them when we no longer need them or when you ask us to, unless the law requires us to keep them.

Security

We take reasonable steps to protect personal information from misuse, loss and unauthorised access. These include encryption in transit, restricted access and reputable hosting providers.

Access, correction and deletion

You can ask to see, correct or delete the personal information we hold about you by emailing hello@civiclabs.com.au. We will respond within 30 days.

Complaints

If you have a concern about how we have handled your personal information, please email hello@civiclabs.com.au and we will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy as SitePermit develops. The date at the top shows when it last changed.
